WOJO Privacy Notice

At WOJO, we know how important it is to keep your personal data safe. We are committed to ensuring that you receive the service you expect and that your privacy is protected every step of the way.

WOJO is a trading name of W & W media group Ltd., which is the Data Controller.

This notice explains the personal information we collect, how we use it, how long we keep it, and how you can exercise your data protection rights.

When you visit our platform, we collect information such as your IP (Internet Protocol) address and details about the pages you visit. This allows us to monitor the effectiveness of our platform and make it easier for you to find the information you need. We also use cookies to support the operation of our site and for analysis and advertising purposes. You can manage cookies via the Cookies Settings button at the bottom of this notice.

The platform may process your personal details, including your precise or approximate location, determined from your IP address, device GPS, or other information you share depending on your device settings.

1. If you provide feedback or review a trade

1.1 When you engage a tradesperson listed on our platform, you may provide feedback on your experience or review the tradesperson. Collecting feedback helps other users make informed decisions and allows us to improve our services. It also helps us monitor whether our Approved Tradespeople continue to meet our high membership standards.

1.2 When an Approved Tradesperson contacts you to request feedback via email or text through the WOJO platform, the instigating Approved Tradesperson acts as the Data Controller, and WOJO acts as the Data Processor. In all other instances, WOJO is the Data Controller of the information. WOJO may also contact you about leaving a review once work has been completed on your property.

1.3 To ensure reviews are fair and genuine, we may ask you for the following personal information:

  • Name
  • Postcode (or full address if using a paper form)
  • Email address
  • Telephone number
  • Signature (paper forms only)
  • Specific information regarding the work performed

To protect against fraud, this information may be used to send a confirmation message or call after leaving a review.

1.4 Reviews are published on our platform and in WOJO directories. We display only your postcode district or town name alongside your review. You may request the removal of your review at any time. We use AI software to ensure reviews comply with our guidelines.

1.5 If your account is verified, a public profile will be created on the platform. This profile is visible to anyone visiting the site and will include:

  • Your display name
  • Any reviews you have submitted
  • The first part of your postcode (e.g., SE1)

1.6 You can manage how much personal information you share through your profile settings. You may request removal of this information under your right to erasure (see the "Your Rights" section).

1.7 You can view your reviews in the dashboard.

1.8 We may provide a copy of your reviews to the relevant tradesperson if they request it, which may include:

  • Name
  • Phone number
  • Email address
  • Postcode

1.9 If you provide a review but do not consent to publication, we will anonymise and aggregate the information. This anonymised data may be used to evaluate the tradesperson, monitor service quality, and generate score ratings, which may be published. The legal basis for this is our legitimate business interest in assessing tradespeople, making membership decisions, and protecting customers.

1.10 Publishing reviews is in our legitimate interest as it promotes transparency, supports consumer decision-making, and maintains trust in WOJO services.

2. If you make a claim under our Guarantee Scheme

2.1 When making a claim after using an Approved Tradesperson, we may collect:

  • Name
  • Full address
  • Proof of address
  • Email address
  • Telephone number
  • Reviews
  • Details regarding the work performed
  • Correspondence or recordings with the tradesperson
  • Photographs of the work
  • Evidence of payments or other relevant information

2.2 We may use platform data and call logs to verify that the job originated through WOJO.

2.3 For detailed investigations, we may engage surveyors and share your personal information with contracted service providers to arrange inspections.

3. Quotes or invoices from Approved Tradespeople

3.1 WOJO provides functionality for tradespeople to send quotes and invoices. In this case, the Approved Tradesperson is the Data Controller and WOJO acts as Data Processor. The quote or invoice will clarify this processing.

4. Payments

4.1 Payment information (e.g., credit/debit card details) may be collected and processed through the platform to facilitate payments to Approved Tradespeople. This processing is necessary for contract performance between you and the tradesperson.

4.2 When a tradesperson collects payment information, they remain the Data Controller, and WOJO acts as the Data Processor. WOJO is the Data Controller only for information provided directly to us.

5. Secure Contacts

5.1 Approved Tradespeople are provided with secure numbers through our Secure Contacts service. Call information, including the number used and duration, is retained.

5.2 Call transcripts are processed with AI to summarise conversations, suggest job categories, and detect spam.

5.3 This data is retained for six years and may be used to request feedback or provide Guarantee Scheme guidance.

5.4 Our legal basis for processing this data is our legitimate interest in maintaining service integrity and fraud prevention.

6. Data Management and Retention

6.1 Reviews and complaints are retained in line with our retention schedule. Personal data may be deleted after six years, but reviews and names may remain to protect membership integrity.

6.2 Guarantee Scheme financial information is retained for six years to meet legal obligations.

6.3 Some personal data from service requests may be retained for feedback purposes.

6.4 Data may be transferred internationally in compliance with applicable safeguards, including UK Addendum to EU Standard Contractual Clauses and US-UK Data Privacy Framework.

7. Artificial Intelligence

7.1 WOJO may use AI technologies to enhance services, personalise recommendations, and optimise user experience, in compliance with this Privacy Notice.

7.2 WOJO's AI Assistant, built on ChatGPT, supports general queries about home improvements and WOJO services.

7.3 WOJO does not access personal data entered into ChatGPT. We may receive general usage information to improve the tool. Personal data should not be shared.

7.4 AI-generated content may be inaccurate or outdated and is for informational purposes only. Use is subject to OpenAI's Terms of Use and Privacy Policy.

7.5 Links from the AI Assistant may redirect to the WOJO platform, where this Privacy Notice and Terms of Use apply.

8. Data Sharing

8.1 We may share information with Approved Tradespeople, surveyors, regulators (e.g., Trading Standards, CMA), payment processors, and other WOJO group companies for legal, contractual, or legitimate business purposes.

8.2 Data sharing includes:

  • Contacting tradespeople on your behalf
  • Legal and regulatory compliance
  • Payment processing
  • Business acquisitions or sales
  • Guarantee Scheme inspections
  • Market analysis and audience creation
  • Marketing and tenant repair request sharing

9. Marketing

9.1 We may use your details to inform you of products or services via email, SMS, phone, or platform messages.

9.2 Location data may be used for tailored marketing. WOJO does not share data externally for marketing.

9.3 Feedback may be requested for market research.

9.4 Tracking services (including cookies) help analyse user behaviour across visits.

9.5 Marketing preferences can be changed anytime via email or platform settings.

9.6 Service messages do not require unsubscribe links under data protection law.

10. Competitions and Promotions

10.1 Personal data may be used to administer competitions or promotions, with separate terms applying.

10.2 Data may be processed to contact winners and may be subject to social media channel policies.

11. Your Rights

11.1 You can request access, updates, deletion, restriction, or transfer of your personal data.

11.2 Questions about data processing can be directed to the WOJO Privacy Team.

11.3 Copies of your data are free, though proof of identity may be requested. Requests will be processed within one month unless an extension is required.
